TERMS AND CONDITIONS
By booking a trip with Ama Adventure, you’re entering into a legal agreement with us, so please take a moment to read these terms carefully before confirming your reservation.
Booking- Nepal Trips
You can book your Nepal trip directly through our website or via trusted third-party platforms.
All our prices are listed in USD. If you’re paying in a different currency, we’ll use the exchange rate issued by Nepal Rastra Bank (Nepal’s Central Bank) on the day you make the transaction to convert it into USD.
To lock in your spot, you’ll need to either fill out our online booking form or request a manual one via email. We require a 30% deposit of the total trip cost to confirm your booking.
Please note: this 30% deposit is non-refundable.
The rest of the balance can be settled at the pre-trip briefing once you arrive in Nepal. If you’d prefer, you can also clear the remaining amount in advance via bank transfer or credit card.
Booking- Bhutan and Tibet Trips
For trips to Bhutan or Tibet, you can book online or ask us for a manual booking form, which we’ll be happy to email you. A 50% deposit of the total trip cost is required to confirm your reservation.
Please note: this 50% deposit is non-refundable.
The remaining balance must be paid in USD at least 20 days before your departure, either by bank transfer or credit card.
Last-Minute Bookings
Nepal Trips: We accept bookings up to 10 days before departure, depending on availability. Full payment is required at the time of booking and is non-refundable.
Bhutan and Tibet Trips: We accept last-minute bookings up to 20 days before the trip, based on availability. Again, full payment is required upfront and is non-refundable.
Payment Methods (For all trips)
We offer several payment options for your convenience:
• WeTravel: A secure online payment system that supports multiple currencies like USD, EUR, GBP, AUD, and CAD. Card processing fees apply—typically up to 3% for VISA and Mastercard, and 4% for American Express. WeTravel also supports ACH, SEPA, iDEAL, and BACS.
• Direct Bank Transfer: We can share our bank details via email upon request. Please note that clients are responsible for any bank charges.
• Credit Card: We accept VISA, Mastercard, and American Express payments. A 4% processing fee applies for all credit card transactions made via our payment terminal.
• Cash: We accept clean, undamaged notes in USD, EUR, GBP, AUD, and CAD. For USD payments, we only accept bills from 2009 or newer in $50 or $100 denominations.
Cancelation and Refund Policy- Nepal Trips
If you need to cancel your Nepal trip, please email us at least 20 days before your scheduled departure. We’ll only process cancellations with proper written notice and confirmation from our team.
• For cancellations made 20 days or more in advance, we will retain 30% of the total trip cost. If you’ve only paid the 30% deposit, please note that this amount is fully non-refundable.
• If you cancel within 20 days of departure, unfortunately, no refund will be issued, and 100% of the trip cost will be charged.
Need to file an insurance claim? We’re happy to provide payment receipts or other documentation to support your claim.
Cancellation and Refund Policy- Bhutan and Tibet Trips
For Bhutan and Tibet, please send us a cancellation request via email at least 30 days before your departure. Cancellation will only be considered effective once we confirm it.
• If you cancel 30 days or more in advance, we will retain 50% of the trip cost, and refund the rest. If you’ve paid only the 50% deposit, please remember this is fully non-refundable.
• For cancellations made within 30 days of departure, the full trip amount will be charged, and no refund will be provided.
If your insurance provider requires proof of cancellation, we’re here to help with the necessary documentation.
Rescheduling- Nepal Trips
Need to postpone, prepone, or transfer your Nepal trip? Let us know your reasons in writing at least 20 days before your original or new travel date– whichever comes first.
• Rescheduling or transferring your trip costs USD 200 per person.
• If you plan to transfer your trip to someone else, you must arrange for the replacement traveler yourself.
Rescheduling- Bhutan and Tibet Trips
To reschedule your Bhutan or Tibet adventure, contact us at least 30 days in advance of your planned or new departure date (whichever is earlier).
• A USD 500 rescheduling or transfer fee per person will apply.
• If you’re transferring your booking, it’s your responsibility to find the replacement traveler.
Incomplete Trips
If, for any reason, you’re unable to complete the trip, Ama Adventure cannot offer refunds for unused services such as meals, accommodations, or guides. Similarly, if you are asked to leave the trip or country due to unlawful behavior, no refund will be issued.
Passport & Visa- Nepal
To enter Nepal, your passport must be valid for at least 6 months beyond your return date.
You can obtain a visa either upon arrival at Kathmandu Airport or from a Nepalese consulate in your country. Visa fees are your responsibility.
We recommend filling out the online visa application before arrival for faster processing. You can complete the form on the Department of Immigration’s website. The form is valid for 15 days, and you must bring a printed copy of the receipt to show at immigration.
Passport & Visa- Bhutan and Tibet
To travel to Bhutan and Tibet, your passport must also be valid for at least 6 months after your return.
You don’t need to worry about handling the visa process- Ama Adventure will arrange all permits and visas on your behalf. These are included in your package cost. Once booked, we’ll ask for your passport copy, photo, travel insurance, and other necessary documents.
Unforeseen Circumstances- Disclaimer
All our trips in Nepal, Bhutan, and Tibet are organized under each country’s official guidelines. However, Ama Adventure cannot be held responsible for any delays, changes, or interruptions caused by events beyond our control. This includes:
• Government restrictions or policy changes
• Political instability
• Weather-related disruptions
• Health issues or accidents
• Roadblocks, flight delays, or cancellations
• Natural disasters like earthquakes, floods, or landslides
• Pandemics or other emergencies
Any additional costs resulting from these events will be the client’s responsibility. We strongly recommend purchasing comprehensive travel insurance before your journey.
Risk & Responsibilities
Joining any trip involves certain risks- ranging from physical injury, illness, and property loss to high-altitude hazards or transport delays. While Ama Adventure takes every reasonable precaution to ensure your safety, it’s important to understand that we cannot eliminate all risks entirely.
By booking with us, you acknowledge these potential risks and agree that Ama Adventure, along with its staff, guides, and representatives, will not be held liable for any injury, loss, or damage you may experience during the trip.
Travel Insurance Requirement
Travel insurance is mandatory for all our clients. Your policy should cover (but is not limited to):
• Emergency evacuation (including helicopter rescue and air ambulance)
• Trip cancellation or interruption
• Medical costs and repatriation
• Accidents and injuries
• Natural disasters
• Theft, loss, or damage to luggage and equipment
Clients are responsible for ensuring their coverage includes all of the above. Ama Adventure will not be liable for any expenses not covered by your insurance provider.
Flight Delays, Cancellations & Helicopter Costs
In high mountain regions like Lukla, flights are often delayed or canceled due to unpredictable weather. We recommend keeping 1-2 buffer days in your itinerary, especially if trekking in the Everest region, to avoid missing your international flight.
If commercial flights are canceled and a helicopter charter becomes necessary, we’ll do our best to coordinate a shared ride (up to 5 passengers). However, the cost- approximately USD 550 per person (one way), must be borne by you. This is in addition to the original flight ticket.
Receipts and documents will be provided to help you file an insurance claim, if applicable.
Trip Changes & Pricing Adjustments
In the event of cancellations or changes due to external factors (e.g. natural disasters or political unrest), we will offer an alternative trip of equal value, or you may choose to reschedule. If you’ve used any services from the original trip, or if the new trip is of greater value, you’ll need to pay the difference.
Please note: Our packages are based on double occupancy. If you’re traveling solo and no roommate is available, a single supplement will apply.
Ama Adventure reserves the right to revise trip prices at any time, even after publication or booking.
Health & Fitness
We strongly advise all clients to consult their doctor before trekking in high-altitude regions. Your physical and mental fitness is crucial for your safety and enjoyment. If you have any pre-existing health conditions or disabilities, please inform us when booking.
Daily walking durations listed in itineraries are average estimates and may vary based on personal fitness and acclimatization.
Children on the Trip
Participants under 16 years of age must be accompanied by a parent or legal guardian at all times.
Privacy Policy
Your privacy matters to us. All personal information you provide will be used strictly for trip planning purposes and will not be shared, sold, or disclosed to third parties.
Media & Publicity Consent
By joining our trip, you grant Ama Adventure the right to use any photos or videos taken during the journey for marketing, promotional, or commercial purposes. No additional permission or compensation will be required.
Complaints Handling
If you encounter any issues during your trip, please inform our staff immediately. We will do our best to resolve concerns promptly, as your satisfaction is our priority.
Acceptance of Terms
These terms apply when booking directly with Ama Adventure. If you book through a third party, you’ll also be subject to their terms and conditions.
Code of Conduct
Ama Adventure reserves the right to remove any participant whose behavior disrupts the group, damages property, or violates local laws. In such cases, no refund will be issued, and the participant will bear any additional costs or liabilities. Our decision is final.
Governing Law & Legal Jurisdiction
All legal matters related to your booking fall under the jurisdiction of Nepalese law. Any disputes will be handled solely by the courts of Kathmandu District, Patan High Court, or the Supreme Court of Nepal. We do not recognize the jurisdiction of any foreign legal system in this regard.
